Data portability and exit

Chapter VI of the EU Data Act has applied since 12 September 2025. The exit route is written down here in advance, not negotiated at the door.

Exit terms

This page covers both rights that matter when a newsroom leaves: the GDPR Article 20 right to receive personal data in a portable format, and the Data Act right to switch a cloud service to another provider or to on-premise infrastructure. It applies to every workspace on every plan, including the free one.

Scope

ErmisAI is a processing service in the meaning of the Data Act: newsroom data goes in, structured stories come out, and the customer must be able to take both elsewhere. Nothing on this page is limited to paying customers, and nothing about it depends on how the subscription ended.

What can be taken out

A workspace export covers:

  • approved stories and drafts, with headline, body, category, status and the source articles attached to each,
  • newsroom configuration - monitored sources, custom sources, tags, categories and monitoring rules,
  • team membership and roles,
  • billing history and invoices, from the billing portal,
  • the account and profile records held about each member.

How to export

Two routes are self-service. The public integrations API returns stories as structured JSON to any destination that can hold an API key - its catalog and delivery endpoints are described in the OpenAPI document published at /api/openapi/public-integrations, and API keys are issued in Settings, Integrations. The WordPress plugin delivers approved stories straight into a site.

Anything the API does not cover - configuration, team records, account data - is exported on written request to privacy@ermisai.com and returned in a structured, commonly used, machine-readable format within 30 days. No reason has to be given, and no charge applies.

Switching provider

A customer may terminate and switch at any time. The Data Act caps the notice period a provider may demand at two months; ErmisAI demands none - cancellation takes effect at the end of the paid period. After that, the workspace stays readable for a 30-day transition period so exports can be completed, extended on written request made before the period ends where the migration genuinely needs longer.

What switching costs

Nothing. There is no export fee, no egress charge, no transition fee and no early-termination penalty. The Data Act allows reduced switching charges until 12 January 2027 and bans them entirely from that date; ErmisAI has never charged them and will not introduce them in the meantime.

What is not part of an export

Source articles belong to their publishers: an export carries the references, metadata and extracted context ErmisAI holds, not a licensed archive of third-party journalism. Prompt templates, model configuration, internal cost-ledger records and aggregate operational telemetry are ErmisAI's own and are not customer data.

What happens afterwards

When the transition period ends, the workspace and its personal data are scheduled for erasure and removed by the recurring purge, apart from records that law requires ErmisAI to keep - billing being the usual case. A member who deletes their own account from Settings, Account starts the same process for their personal data, with a short grace window stated on that screen before the purge becomes irreversible.

Where this is contractual

These commitments are part of the Terms and, for personal data, of the data processing agreement. They are stated here in public so that a prospective customer can read the exit terms before signing up rather than after.

Export and switching requests go to privacy@ermisai.com. Include the workspace name and what the data is being moved to, which usually shortens the round trip.
